Mitel is one of the market leading telephone system manufacturers in the UK and their current range includes the Mitel 3300 and Mitel 5200 and 5400 telephone systems. 10% of telephone systems in the UK are Mitel/Inter-Tel – 37% of IP extensions in the UK are Mitel or Inter-Tel IP phones – (source MZA2007).

Note the Inter-Tel 5200 and 5400 systems are now known as the Mitel 5200 and 5400 telephone systems (collectively known as the Mitel 5000 telephone system) following the recent merger between Mitel and Inter-Tel in 2008.

Who would buy this kind of system? Mitel telephone systems are ideal for businesses that want a converged communications platform as they come deployed with IP or VoIP technology. Put simply, this means that phones are IT devices and all the voice is carried on your computer network. Although you can use analogue phones and also digital phones on the Mitel 5200 and 5400, they are ideally for IP use.

The main benefits of IP phones are as follows:

You will be managing one network rather than two. In traditional environments with digital phones, you would have a telephone network with your digital and analogue telephones and a separate computer network. With IP normally you would only have to deal with your computer network. This removes the requirement of a link or interface when your business wants your PC and your telephone to talk to each other (e.g. for clicking and dialling from your database or popping incoming callers’ database details on your PC screen when the call comes through).

Note, if you decide to deploy IP telephones in your office, you must take due consideration. Firstly, IP phones require power, unlike digital or analogue telephones. This would either be from a local power supply or, ideally, the network switch that you are using to connect them (a switch is a bit like a clever computer hub) must deliver power down the cable (known as Power over Ethernet or POE).

Also, should you decide to install a proper converged solution – in other words your PC devices and your telephones are connected into the same computer socket (outlet) which is the whole idea behind the technology, due consideration must be given to your computer network and how busy it is. As your voice traffic will be mixed together with your data traffic, the network must be ‘virtually’ separated using something called a VLAN or virtual LAN. Also, the network switch being used for your telephones and computers must be configured so the voice traffic is prioritised using something called QoS (Quality of Service) and PPP (Packet Prioritisation). This may mean you having to upgrade your computer network switch.

It is possible to have IP telephones working on your network quite happily without consideration of the above but only if the network is not busy – in other words the data on your network is not being switched in large quantities, but this is unusual these days.

The fact that the Mitel systems are IP-based telephone systems mean that they will already have the capability of being given to remote workers or home workers. This means that anyone with an internet connection can log on and become an extension of the telephone system and work as though they are in the office using an IP phone or IP softphone.

Your business could use this IP based technology (VoIP) to link multiple offices in order to achieve free calls between sites and economies of scale – imagine all your people being in one location and what this would save you in terms of resources etc.

The Mitel 5000 telephone system can scale small from just a few users to well over 200.

A typical 20 user Mitel telephone system will cost between £4,000 and £6,000 depending on specification which can vary enormously. A 30 user system with Call Centre functionality would cost between £12,000 and £18,000. Naturally the larger the system, the more it costs.

The Mitel 5000 telephone system can be configured for many different scenarios. It can be installed with either traditional digital telephones (8560, 8520, 8500), analogue telephones or IP phones (S8690, S8601, S8662, S8622).

You will find the handsets very intuitive like a mobile phone.

The voicemail on the Mitel 5000 telephone system is excellent. You can access voicemail from your handset or remotely wherever you are 24/7/365. On display phones the voicemail access is visual making it very easy to use.

Voicemails can be copied to your Microsoft Outlook Inbox or similar e-mail program. Calls can be recorded by simply pressing a button when on the phone. Also, recordings can be archived and retrieved then forwarded as e-mails.

Remote workers can connect their home IP phones to the internet and become virtual extensions of the system. This is fantastic as it enables users to work remotely as though they were sitting in the office.

Similarly, if you have more than one office, sites can be linked so they are working as one. Calls are free between sites and users can see who is on the phone on remote sites and so on. This also allows certain potentially expensive options to be centralised such as lines, voicemail, call recording, Receptionist functions – this really could reduce your business overheads substantially.

We have briefly touched on some of the most common Mitel 5000 system features. As you would expect, all the normal telephone system features can be utilised such as call pick-up, hunt and ringing groups, Direct Dial, Parking, Paging, Directory, Listening in, connection to tannoys and door entry systems, cordless telephone integration for complete mobility, conferencing, Least Cost routing and so on.
